Find your way around Utilities: every section, what it is for and who can open it

Know what each of the fourteen Utilities sections does, why some staff see only a few of them, and which article walks you through each one.

Before you start

How the screen is laid out

Utilities opens on Clear a practitioner's day. If you cannot open that section, it opens on the first one you can. For a clinician or nurse that is Scanning.

The three permissions

The split is deliberate. The front-desk tools exist for reception, so putting them behind the administrator permission would lock out the people they are for. Backups, sessions and whole-practice exports stay with administrators, because "reception can clear a sick doctor's day" and "reception can download the database" are different decisions.

Giving another role the front-desk tools. Front desk

Clear a practitioner's day For the morning someone calls in sick. Preview the day, give one reason, cancel every booking in one step and get the callback list with names and phones. Scanning The day's paper. Upload what the scanner produced, open each page and file it to its patient. Filing also queues it in the clinical inbox for review. Filing correspondence KB-047 — Scan and file paper letters, including the appliance's pre-filled suggestions
Duplicate patients Records that look like one person: the same Medicare number, or the same family name and date of birth. Nothing merges from here. Data quality Worklists of gaps worth fixing while the patient is at the desk, such as a missing Medicare number or mobile, and addresses that cannot be right. confirmed correct takes a record that is right as it stands off the list. Data protection

Restore Choose a backup and see the exact command that restores it. Restoring is done at the practice server, not by a button, because a one-click restore would pull the database out from under running consults. Backup schedule When automatic backups run, where the second copy goes and how long backups are kept. Data management

Import & export Export your own data: the patient list and billing history as CSV files. Imports are not run from here; they go through the preview-first screens under Settings. Data clean-up Housekeeping: reclaim space, rebuild the search indexes, preview archive candidates under the 7-year rule, and list scans left unfiled. Nothing is changed without your review. System

Add ?sec= and the section's short name to the Utilities address to open on that section. This is handy for a bookmark or a line in your procedures manual.

A link to a section the person cannot open does not show an error. Utilities simply opens on the first section they can use.

The standalone console

The administrator sections also exist outside the main app, on a page served by the practice server itself at http://<practice-server>:8080/admin. It uses the same sign-in and the same practice-administrator permission, and it keeps working when the main app will not load, which is when backups and sessions matter most. The front-desk tools are not part of it. Bookmark the address before you need it: KB-068 — Use the standalone admin console when the main app won't load.
